Patient Metrics & Master Report
Patient Metrics – Summary

The Summary reports show details on the number and types of surgeries, animals, and appointments scheduled at your clinic. Each is broken down into smaller sections giving a general picture of how your clinic is functioning.
Navigate to Reports > Metrics > Patient Metrics - Summary.


Note: Summary reports include every species your clinic has ever serviced, regardless of what is currently enabled in Settings > Species. So if you no longer spay/neuter rabbits and that species is turned off, historical data still appears here.
Surgery Summary
Breaks down the number of spays and neuters (separately) within a period of time, divided by species, then by Adult, Juvenile, and No Data. Also shows deceased animals with cause of death: Anesthetic Reaction, Euthanized per Owner Request, Hemorrhage, Pre-Existing Condition, Sepsis, Stress-exacerbated Disease, Surgical Complication, Undetermined — and whether it occurred during, before, or after surgery.


- The Surgeries report represents successful surgeries only — excluding declined surgeries, deceased animals, and animals euthanized by owner request.
- The distinction between Juvenile and Adult follows PetSmart Charities' and ASPCA guidelines: all animals 5 months and younger are Juvenile.
Animal Summary
Aggregates all animals seen over a period of time, grouped by Animal Type. There is no distinction between Wellness and Surgery — all count toward the total, including Declined Surgeries.
- Broken down by species.
- For clinics that work with cats, shows how many were Community Cats (Feral and Friendly).
- Includes indicators like Pregnant, In Heat, and Cryptorchid.

Appointments Summary
Divides appointments into Internal, Online, Spay/Neuter, Recheck, and Wellness.
- The first line shows total recorded appointments for the period.
- Further divided into Internal/Online, Surgery types, Recheck, Wellness, and available Appointment Types.
- Each type is subdivided by status: Canceled, Checked Out, In Progress, and No Shows (for Volume and Public).

This report is also useful for checking how many appointments are booked in the future.
Patient Metrics – Details

The Details reports provide specific information about spay/neuter surgeries and total appointments — including appointment dates, animal details, and services received. The report can be exported to Excel.
Navigate to Reports > Metrics > Details.

Two groupings are available:
- Surgeries – All animals with a completed spay or neuter. Does not include deceased or declined animals.
- Animals – All animals with checked-out appointments.
Select a date range and click either button to generate the report.
Surgeries Details
Shows animals that had surgery, including appointment date/number and detailed animal information.

Animals Details
Shows all animals seen for any appointment type, including appointment date/number, animal details, and services received.

Master Report

The Master Report is one of the most complete and robust reports in HQ — previously tailored for the ASPCA. It covers four report types: successful surgeries, declined surgeries, no-shows, and rechecks.
Navigate to Reports > Master Report.

Select a report type, specify a date range, and optionally filter by County. The report generates an Excel file with a header showing the date range and body with the selected data. If your clinic has multiple locations, they appear as columns.
Report Type: Surgeries


Provides a surgeries count broken down by public and volume clients, age groups (Pediatric, Adult, Geriatric), and indicators like Cryptorchids, In Heat, Pregnant, and Community Cats. Also grouped by gender and species.

A separate section shows the same details for community cats only. The second sheet shows volume client surgery details, including total active clients and surgeries per volume client.

Report Type: Declined Surgeries
Shows the total count and percentage of declined surgeries relative to total surgeries. Broken down by reason for denial and by vet.
The second sheet is the Mortality Report — total deaths with details on each deceased animal, including animals euthanized by owner request.


Report Type: No Shows
Simple report showing total no-shows grouped by Public and Volume clients.

Report Type: Recheck
Shows the total number of rechecks, plus a listing of each animal that had a recheck, the reason, and the surgical doctor.
