24.6.1. Converting Custom Fields to Medical Notes

Converting Pre-Existing Custom Fields in the Details Tab to Medical Notes

Overview

Custom Fields that need to print on the medical record or client take-home paperwork must be assigned to a medical Custom Field Group. Assigning a field to a medical Custom Field Group moves it from the Details tab of Checkout to the Medical Notes (Short Tag) section of the Treatment Sheet.

Why a Field Appears Under Details

A Custom Field can appear under the Details tab instead of Medical Notes (Short Tags) for two reasons. Review these settings by navigating to Settings > Custom Fields.

  • The field is not assigned to any Custom Field Group. This is shown by a dash (--) in the Group column.
  • The field is assigned to a non-medical Custom Field Group. To verify this, go to the Custom Field Groups tab and check the Is Medical column. The value must be Yes for the group to be considered medical.

Steps to Convert a Custom Field

  1. Go to Settings > Custom Fields.
  2. Locate the custom field you want to convert.
  3. Click the Edit button for that field.
  4. Open the Group dropdown menu.
  5. Select a Custom Field Group that is marked as Medical.
  6. Save your changes.

Medical Notes

Once converted, the Custom Field will also appear under Settings > Medical Notes. Text entered here will be included in the Client Communication section of the Treatment Sheet and on medical documents. This ensures the corresponding note you set up prints correctly with the medical record and client paperwork.
